Terms of Service
Last updated: 2026-09-23
These terms are the contract between HairReflect and the shops that use it. They are written to be read without a lawyer. If anything here is unclear, ask us before you rely on it: mariosdemosthenous11@gmail.com.
1. Who you are dealing with
HairReflect is operated by Marios Demosthenous, trading as HairReflect, a sole trader established in Cyprus at Syrou 13B, Lakatamia, Cyprus. Contact: mariosdemosthenous11@gmail.com.
These terms are an agreement between that person (“HairReflect”, “we”, “us”) and the business that opens a shop account (“the shop”, “you”). HairReflect is offered to businesses — barbershops and salons — not to consumers. By creating an account you confirm that you are acting for a business.
2. What the service is
HairReflect is an interactive try-on service for hair salons. You publish your salon’s own transformations as Signature Looks (and, if you choose, looks from the HairReflect library). A client can try a look on their own photo — on their phone through your salon’s links, QR codes, website or Instagram, or on a tablet in your salon — and then ask you about it or book through your booking link. Each try-on takes one photo of the client and generates a preview of how the chosen look — cut, colour or styling — could look on them. You get a web dashboard for your salon account with the enquiries, the try-on context each client created and, where enabled, a consultation brief for your team.
- Previews are a visual direction, not a promise. A preview is an illustration of a style on a customer’s photo. It is not an exact prediction of a real haircut. What is feasible on real hair is always the professional’s judgment, and the result of a haircut is between the shop and its customer.
- The product may refuse a look. Every generated preview passes through a quality gate. If a preview fails our checks, the product refuses to show it rather than show something broken. This refusal is deliberate and is not a fault in the service.
3. Plans and usage
- Plans. Growth is €79/month and Pro is €179/month, billed monthly. Before onboarding starts, a one-time HairReflect Launch payment of €599 is made (€299 as a Founding Salon Launch). It is separate from the monthly subscription, which starts only once we have reviewed your setup together. Growth and Pro have no annual billing option and no long-term contract. Accounts on plans no longer offered are covered by section 3A.
- Trial. Growth and Pro have no free trial.
- Allowance and pause. Each plan includes the monthly try-on allowance shown on our pricing page when you subscribe. On Growth and Pro, up to 50 (Growth) or 150 (Pro) additional try-ons are included at no charge; at the monthly maximum of 500 (Growth) or 1,600 (Pro) try-ons, previews pause until the next billing cycle. Prepaid try-ons from top-up packs are used only once that maximum is reached, and raise it by the number of prepaid try-ons not yet used. There is no per-try-on charge on these plans. By default, previews started from public channels (links, QR codes and your website) pause once 90% of the included allowance is used, while in-salon tablets keep working; you can switch this pause off in your dashboard.
- Top-up packs. You can buy prepaid credit packs to cover additional try-ons. Credits have no cash value and cannot be exchanged for money.
- Price changes. We may change prices. A price change for an existing subscription will be announced to your account email before it applies.
3A. Plans no longer offered
This section applies only to an account that subscribed to a plan HairReflect no longer offers to new accounts (Starter, Shop, Studio, Signature, or the earlier version of Pro). It does not apply to Growth or Pro.
- Plan, price and interval. An account that subscribed to an earlier plan keeps that plan, its price and its billing interval until it changes plan.
- Trial. If your account started on an earlier plan that included a trial, a card was required to start it, and the paid subscription started automatically unless you cancelled before the trial ended. Where an account on an earlier plan has a trial, cancelling before it ends means no subscription charge is made.
- Usage beyond the allowance. Accounts on earlier plans are charged for try-ons beyond the allowance at the per-try-on rate that applies to their account.
- Annual billing. Cancellation takes effect at the end of the period you have already paid for — monthly or annual — and you keep access until then. We do not refund the remainder of a paid period, monthly or annual.
4. Payment
All payments are processed by Stripe. We never see or store card numbers. You manage your payment method, invoices, and cancellation from the billing portal linked in your dashboard. If a charge fails, Stripe retries it; if a billing period remains unpaid, we may suspend access to the service until payment is collected.
5. Cancelling, and no mid-period refunds
- You can cancel at any time from the billing portal. Cancellation takes effect at the end of the monthly period you have already paid for, and you keep access until then.
- We do not refund the remainder of a paid period.
- The rules for plans no longer offered, including annual billing and trials, are in section 3A.
6. Acceptable use
Use HairReflect to preview hairstyles for your shop’s customers. Do not:
- attempt to make the AI generate content unrelated to hair previews, or work around the quality gate or other controls;
- resell, sublicense, rent out, or offer the service to third parties as your own — your subscription is for your shop and its customers;
- reverse engineer, scrape, or deliberately overload the service;
- use the service in any unlawful way.
We may suspend or terminate an account for a serious or repeated breach of this section. Where the breach can be fixed, we will warn you first and give you a reasonable chance to fix it.
7. Your customers and their photos
Under data-protection law, your shop is the controller for your customers’ photos. HairReflect processes them on your behalf under the Data Processing Annex, which is part of these terms. In practice this means:
- You are responsible for telling customers that their photo is used to generate previews and kept for up to 30 days for quality checks. Our Privacy Policy explains this in plain words — point customers to it.
- The try-on is meant for customers aged 16 and over; the tablet and phone screens say so before a photo is taken. A younger customer may use it only with a parent or guardian present, and making sure that parent or guardian agrees before the photo is taken is your responsibility as the business in front of the customer. We never ask for or record a customer’s age.
- If a customer asks you to delete their photo before the 30 days are up, pass the request to us at mariosdemosthenous11@gmail.com promptly, or tell them they can email us directly.
8. Availability
We work to keep HairReflect running well, but we do not promise uninterrupted availability and we offer no service-level agreement. The service depends on third parties — AI providers, hosting, payments — and on your shop’s internet connection. We may perform maintenance, and features may change or be withdrawn. The service is provided “as is”.
9. Intellectual property
- HairReflect owns the service: the software, design, hairstyle catalog, prompts, and branding. Your subscription gives your shop a non-exclusive, non-transferable right to use the service while subscribed — nothing more.
- You keep what is yours: your shop’s name, logo, and branding you upload. You allow us to use them only to run the service for you.
- Customer photos and generated previews are not ours to keep or exploit. They are handled only as described in the Privacy Policy and the Data Processing Annex.
10. Liability
- Nothing in these terms excludes liability that cannot legally be excluded, such as liability for fraud, or for death or personal injury caused by negligence.
- Otherwise, our total liability to you under these terms is capped at the fees you paid us in the 12 months before the event giving rise to the claim.
- We are not liable for indirect losses such as lost profits or lost business, and not for the outcome of any haircut — previews are a visual aid; the haircut and its result are between the shop and its customer.
11. Termination
You end the agreement by cancelling (section 5). We may terminate or suspend your account for material breach — including non-payment or a breach of section 6 — with notice, and where the breach can be fixed, a reasonable chance to fix it. When the agreement ends, access to the dashboard and tablets ends. Customer imagery still inside the 30-day quality window is deleted as described in the Data Processing Annex. Where the dashboard offers an export, it covers your contact list only — customer imagery is never exportable, so do not rely on the dashboard as an archive of anything else.
12. Changes to these terms
We may update these terms. Material changes will be sent to your account email before they take effect. If you keep using the service after that, the new terms apply; if you disagree, cancel — the cancellation takes effect at the end of your paid period as usual.
13. Governing law
These terms are governed by the law of the Republic of Cyprus, and the courts of Cyprus have exclusive jurisdiction over any dispute arising from them.
